Registration Process.

Orientation Meeting.

During orientation, an ABS specialist guides you and your staff through all aspects of our sealed bid system. This meeting helps insure you are able to maximize profits and minimize time spent.

Dealers who commit all applicable inventory to this system have the highest sales ratios and profits compared to splitting inventory amongst alternate channels. .

How to register.
As a security measure, an authorization form, signed by the dealer principal or general manager needs to be submitted for each online participant. These forms are normally completed during the orientation meeting.

Login Considerations.
Be sure to assign a unique login to each online user. Users have the ability to sell and buy cars online. As a safety measure, our IT department is able to track online participation based on login information. This important safeguard insures you know who is managing your online remarketing operation.

Login Instructions.

  1. Click login button on ABS home page.
  2. Enter Dealer Number (DMV Dealer Number).
  3. Enter (PID) Personal ID Number (Chosen by you).
  4. Enter Password (Use 123456 first time).
  5. Click enter. You will be prompted to change your password (first time login only).

How to submit inventory.
ABS offers three ways to submit inventory:

  • 1. Via e-mail attachment: Simply attach a Microsoft Excel spreadsheet or text file. Initial formatting runs one week. Files must maintain consistent format. See your local contact page for email address.

Required information.
Please submit all forms fully completed and accurate. Mandatory announcements are required where applicable. See listing of mandatory announcements on all forms (online and faxable).

Timing – critical to your success.
The advance list is our most powerful advertising tool. It brings buyers to each auction to bid on your inventory. To be included, your inventory list must be submitted one day prior to sale by:

  • 12 noon when ABS handles transportation.
  • 3 pm otherwise.

Cars must be on our lot by 4 pm to allow preparation time.

Cost & Initials.
Optional cost fields are confidential and will only be used to generate profit projections and results reports. This tool is commonly used for what-if scenarios during the approval process. Historical results are maintained in the database. The initials field is used to identify each car’s appraiser.

Preparing cars for auction.
ABS utilizes a state-of-the-art system to collect accurate vehicle data in preparation for auction.

  • We began by scanning the VIN number into a handheld computer.
  • The computer immediately provides:
    A) VIN based data of year, make, model, trim, engine & transmission
    B) Information necessary to book the car with Kelley Blue Book car power.
  • Photographs are taken.
  • The entire file is uploaded to our database, formatted and loaded onto our web site.

Once inventory is online, bidders have, at their fingertips, equipment, book sheet and photographs. Photographs may be clicked to view a larger version.
As a security measure, a detailed condition report is completed and recorded.

We use the Auto Check vehicle history report to help uncover any issues that need to be announced.

Lot preparation.

  • Cars are numbered to match bid sheets.
  • Cars are grouped by dealer.
  • Book sheets are printed and affixed to each car.

Car wash.
ABS offers optional car washing services. We strongly recommend you wash your cars before offering them for sale. They will bring more money.

The ABS system ensures your inventory receives the best possible presentation to our network of buyers in person and online.

The advance list.
The advance list is a key marketing tool used to advertise your inventory to our network of over 1,300 registered bidders and new car dealers. It is distributed three ways:

Telephone contact.
Prior to each auction, bidders are contacted by telephone to encourage attendance. This regular contact also provides an opportunity to answer questions or address concerns they may have.


Sale days, how the auction works.
ABS strives to provide a safe and comfortable atmosphere designed to make the buying experience as enjoyable and efficient as possible. All sales are open two days, from 9 am to 5 pm, to allow ample time for bidders to inspect and bid your inventory.

  • At check-in, each buyer is confirmed and given a bid packet that includes bid sheets for each individual dealer.
  • During inspection, ABS staff (one for each 30-35 cars) are located throughout the lot to provide personal assistance to each bidder and carefully monitor their activity.
  • Our dedication to personal service insures each car is offered in the best possible condition.
  • Amenities are available such as work spaces, wireless internet connections, cold drinks, coffee, and snacks.

Security.
ABS Auctions is committed to keeping inventory safe. All lots have state of the art security systems including sophisticated cameras that sense human movement (after hours) and transmit images to security headquarters where voice warnings can be sent directly to the lot notifying intruders that police are coming. Cameras run 24/7 allowing us to monitor all activity.

Bidding, how it works.
Bidding at ABS Auto Auctions is now easier than ever, especially for buyers who visit multiple auctions. ABS offers three ways to bid:

  • Online bidding via the Internet at any ABS auction location or from any internet connection such as home or office (see login instructions on p. 2).
  • Via fax or by submitting at any auction location.

Timing.
All bids must be submitted by 5 pm on the last sale day or by 6 pm if submitted online.

New-car dealer bidding.
ABS encourages new-car dealer bidding. Our sales often include guaranteed front line inventory and higher end trades that did not fit a particular dealers inventory mix. Our streamlined systems, 90 day comps, book sheets, photos, and online bidding make finding desirable cars easier than ever.

Preferred terms.
No need to pay at delivery - simply sign an invoice and forward payment within 48 hours. Your check will be held until title notification, at which time title is mailed.

Sale results.
The comprehensive preliminary sales report lists high bid w/bidders name and all subsequent bids w/name. Additional data includes average top four bids, difference between first and second highest bids, appraiser’s initials and an acceptance check box.

Also, if you provide cost, the profit/loss of each vehicle is calculated as well as per car averages. The report is distributed to you (by 7 pm on the last day of the sale) one of three ways:

Acceptance.
Bids may be accepted online or faxed.

Timing.
It is imperative that acceptance is submitted by 10:30 am the day following each auction. Bidders may back out if auction results are not received by noon, further illustrating the importance of timely responses to bids.

Second chance sale.
Vehicles not sold during their first auction are eligible for our unique second chance sale. This sale is designed to move those few no-sales quickly and reduce time and expenses associated with reruns.

Second chance sales run the day following each auction. They are special four hour sales where each car carries a conditional sale amount designated by its seller. This allows bidders to know what it takes to buy each vehicle. The four hour time limit creates urgency with bidders, who often bid higher than the minimum sale amount.

10:30 a.m. Seller responds to bids and includes conditional amounts on unsold cars for second chance sale.*
11:00 a.m. Second chance bid sheet forwarded to bidders.
3:00 p.m. Bids must be submitted by 3 pm.
3:30 p.m. Preliminary sales results forwarded to seller.*
4:00 p.m. Deadline for bid acceptance.*
Paperwork and online options are identical to normal auctions (see Sale results on p. 17).

Timing.
Because this is a four hour sale, it is imperative that conditional information is submitted by 10:30 am the day following each auction. Bidders may back out if second chance auction results are not received by 5:00 pm, further illustrating the importance of timely responses to bids.

The final sale results list results from the initial auction and second chance sale and is designed for you to keep in your records.

Overall auction results.
Detailed auction results are forwarded to all subscribed bidders, whether they attended the auction(s) or not. These reports have proven a valuable marketing tool for future auctions. Reports are available by 5:00 p.m. the day following each auction. They are available via email, online or via fax.

Rerun with conditions.
If you were unable to sell a vehicle in the original and second chance sale, or missed the second chance sale deadline, we strongly encourage you to rerun the vehicle the following week with a conditional amount. This will draw special attention to these vehicles and generate additional bids, since the bidders know what it takes to buy them.

The key to success is to list realistic conditional amounts based on the market and previous bids. Cars that are rerun without a conditional amount (or rerun with unrealistic amounts) attract fewer bids, and in some cases no bids. By rerunning a vehicle with realistic conditional amounts, ABS has successfully motivated buyers to take another serious look and place additional bids. In most cases, buyers have placed bids higher than the conditional amount.

Report of Sale
DMV paperwork is handled by ABS. When sales are approved by seller, the Report of Sale is generated and copies forwarded to the buyer, seller and the DMV. ABS keeps records of individual buyers.

Title for Check.
Simply overnight title and transfer documents (complete and accurate) to ABS. We will review, process and overnight your payment within 48 hours of receipt. We recommend sending batches twice per week. Sale is subject to cancellation if title is not received within 60 days.


- ABS Check. -

Title documents must include:

  • Line 1A must be signed by customer or by power of attorney on the 262.
  • If customer signs line 1A, please have customer sign odometer section on front of title.
  • If signed by power of attorney on the 262, seller, please write (in the odometer section) ‘see 262’ and sign the buyer section.
  • Back side of title must be completed in full with mileage and date at time of transfer. This would be the first day of pickup (for example, if the auction date is 3/7/05, your sale date would be 3/9/05). If you wish to leave the buyer section and date blank, the ABS DMV Department will fill in the buyer information for you.
  • A current registration card or KSR is required. If you are unable to provide one of the above items, please send a letter verifying the registration is good and the date of expiration.
  • Please provide a name statement if the customer has a different last name than shown on title.
  • An error statement is required for any changes in dates or mileage.
Following these guidelines will help avoid delays and insure prompt payment.
